Data Privacy Policy

1. Overview

Putrefer Nature Farm Institute Inc. ("PNFI"), a SEC-registered non-stock corporation (SEC Reg. No. 20260702618147-01) with principal office at Poblacion Lone District, Cagdianao, Dinagat Islands, Region XIII, is committed to protecting the privacy and personal data of all individuals who interact with our organization, website, and digital portals.

This Data Privacy Policy is issued in accordance with Republic Act No. 10173, otherwise known as the Data Privacy Act of 2012, and its Implementing Rules and Regulations (IRR), as enforced by the National Privacy Commission (NPC) of the Philippines.

2. Personal Data We Collect

PNFI collects the following categories of personal data:

  • Identity Data: Full name, government-issued ID, date of birth, civil status
  • Contact Data: Address, telephone/mobile number, email address
  • Farm Worker Data: Employment records, harvest logs, income disbursements, farm section assignments
  • Partner & Agency Data: Organization name, authorized representative, grant reference numbers, MOA details
  • Portal Usage Data: Login timestamps, pages visited, actions performed within PNFI dashboards
  • Financial Data: Bank account details for salary/incentive disbursement (farm workers only)

3. Purpose of Data Processing

We process personal data for the following legitimate purposes:

  • Farm operations management and harvest record-keeping
  • Payroll and income disbursement for farm workers and cooperative members
  • Grant compliance reporting to DA-RFO XIII, PCA XIII, and DOST XIII under AFMA §108 and DOST SETUP
  • Partner agency coordination and MPA document management
  • Product inquiries, buyer communications, and market linkage activities
  • SEC and government regulatory compliance and audit support
  • Portal authentication and access control for authorized stakeholders

4. Legal Basis for Processing

PNFI processes personal data under the following legal bases:

  • Contractual necessity: Processing required to perform employment and partnership agreements
  • Legal obligation: Compliance with DA, PCA, DOST, SEC, NCIP, and DENR regulatory requirements
  • Legitimate interests: Farm operations management, product development, and enterprise governance
  • Consent: For marketing communications and non-essential data uses, where your explicit consent is obtained

5. Data Sharing and Disclosure

PNFI shares personal data only with:

  • Government partner agencies: DA-RFO XIII, PCA XIII, DOST XIII, DTI, OPAG, LGU Cagdianao — for grant monitoring and compliance
  • Legal and regulatory authorities: SEC, COA, NCIP, DENR — when required by law or audit
  • Service providers: Payroll processors, cloud storage providers, and IT contractors under data processing agreements

PNFI does not sell, rent, or trade personal data to third parties for commercial purposes.

6. Data Retention

Personal data is retained for the period necessary to fulfil the stated purposes and comply with applicable laws. Farm worker employment records are retained for a minimum of 5 yearsafter separation. Grant compliance records are retained for 7 years in accordance with COA auditing requirements.

7. Your Rights as a Data Subject

Under RA 10173, you have the right to:

  • Access — request a copy of personal data PNFI holds about you
  • Rectification — request correction of inaccurate or incomplete data
  • Erasure / Right to be Forgotten — request deletion of data no longer necessary for the stated purpose
  • Objection — object to processing based on legitimate interest or for direct marketing
  • Data Portability — receive your data in a structured, electronic format
  • Complaint — file a complaint with the National Privacy Commission (privacy.gov.ph)

8. Data Security

PNFI implements technical and organizational measures to protect personal data against unauthorized access, disclosure, alteration, and destruction. These include password-protected portals, role-based access control (Admin, Partner, Farmer), encrypted data transmission (HTTPS), and restricted physical access to paper-based records stored at our Cagdianao office.
